Downloads Component (Updated)

What is a Downloads Component?

Downloads Components are used to upload files to your page. This component allows you to add hyperlinks to your page that lead to files. Some examples of files are PDFs, MP4, Word Documents, RTF, ZIP Files and many more.

Note: When uploading files, the file size limit is 1 GB.

To get started with setting up your Downloads Component, click the green “Edit” button to the right of your component. See "Page Components" if you are unsure of the process up to this point.


Creating a Title for your Downloads Component

To create a title for your file(s), use the arrow to the right of the blue “Component Header Options” field to expand this area. Check the box to “Show Component Header” and place your title into the “Header Text” field then click the green “Save” button. This will place a bold title over your files on the public side of your page.

Adding your Files

Click "Add A New Download" to get started with adding your file(s).

When adding a file there are multiple fields to consider, some of which are required and some are optional.

Download Title (Required) – Your visitors will see this title and click on it to view the file.

Description (Optional) – If you choose to add a description this will be displayed just below the link to the file.

Date Visible (Optional) – Here you can select the date you want your file to appear on your site. Leave this blank, and the file will show up immediately.

Date Expires (Optional) – Select the date you want your file to be removed from your site. Leave it blank and it will always show to the public until you delete it.

Note: Expired files that are no longer showing on the public side will show as red in your Downloads list, inside of the Downloads Component.

File (Required) – Click “Choose File” to locate your file on your computer, network, etc.; click on your file and then click “Open.”

Note: When choosing a file, the file name cannot have special characters or extra periods. Ex. Dr.Watson.pdf. Invalid file names will result in an error. ‚Äč

Adding an icon/image (Optional)

You may want to add a small graphic, logo or icon instead of your Download Title for users to click on to get to your file.

Icon (Optional) – Click “Choose File” and find a small icon (120x120 pixels or less ideally) that will appear next to the Download Title (example: PDF icon).

Use Icon (Optional) – checking this box will enable your visitor to click the Icon to load the file. The file name will not show and your file will open in a new window.

Tip: If you are placing multiple files on a page with icons, all icons/graphics should be the same width and height to ensure the links line up and look uniform.

If using images, be sure to add your required Alternative Text to ensure ADA Compliance. This should be a brief description of the icon or the word(s) displayed on the icon.

Creating a Rich Text Format file when uploading PDFs

One of the handy features available within the CMS Downloads Component is the checkbox at the bottom of the page that indicates “If you are uploading a PDF, would you like the system to create a Rich Text Format file?” Checking this box allows you to create an RTF version of your PDF files. An RTF file is a created to help ensure your site is as ADA compliant as possible. This type of file is accessible for visually impaired users who are accessing the information in your files with a screen reader.  

Note: some PDFs are not compatible with this feature and cannot be converted to an RTF file. Ex. PDFs that have been uploaded from a scan and are essentially just images of text or PDF.

Once you have completed all necessary fields, remember to click the green “Save” button, or “Save and New” if you are adding additional files.  

Tip: You may reorder your files by dragging and dropping into different orders. Alternatively, you can automatically arrange your files by using the “Order By” feature from the Downloads list.
